Gold shop POS system: 10 things it must do

A POS system for a gold shop is more than a till. It has to understand a gold price that changes every day, the weight and purity of every item, workmanship, trade-ins and buybacks — and now LHDN e-Invoices. A general retail POS is not built for any of that.

Here are ten things to check before you choose a system for your counter, based on how gold shops actually trade.

1. Today's gold price, your own prices

The system should show the world gold price automatically — 999, 916, 835, 750 and 24K, 22K, 21K per gram — while letting you set selling, trade-in and buyback prices for each grade. The price at the counter must be your shop's price, not the raw market price.

2. Weight, grade and workmanship for every item

Every piece is different. The system needs each item's weight, grade and workmanship, and must work out the selling price from the day's per-gram price correctly — without a calculator beside the counter.

3. Trade-ins and buybacks at the counter

Customers often bring in old gold. The system should let you take it in at your trade-in or buyback price, in the same transaction as the sale, and then resell it or send it to a supplier.

4. Stock, trays and price tags

Batch intake from supplier invoices, stock by tray, transfers between shops, and price tags printed on the spot as items are added. Check which printers are supported — a common Bluetooth label printer costs far less than a special one.

5. Suppliers and scrap

Scrap sent to a supplier should be counted in pure gold weight from its purity, and the system should show what you owe each supplier — in pure gold and in cash.

6. LHDN e-Invoices

If your annual turnover is RM3 million or more, you must issue LHDN e-Invoices. Your system should issue them for customers, keep every one, and handle gold-shop cases such as sales above RM10,000 and gold bought from the public. Read the e-Invoice guide for gold shops.

7. Several shops, one company

If you have more than one shop, the system should bring every branch under one company — each shop's stock, sales and reports — with different roles for staff.

8. Staff and commission

Monthly sales and commission per salesperson, contract dates and roles, so you know who sold what without working it out by hand at month end.

9. Cash flow and reports

Daily and monthly cash flow per shop (cash and online), expenses with receipts, and reports on sales, trade-ins, resale, returns, discounts and stock levels — filtered by shop and date, and exportable.

10. Who runs the servers and your data

Ask where your data is kept, who backs it up and what happens if a tablet breaks. A hosted system means the provider runs the servers, backups and updates; you only need a tablet at the counter. Make sure the data is hosted in Malaysia and never sold.

Questions to ask any supplier

  • Can I set my own price for each grade, for selling, trade-in and buyback?
  • How does the system handle e-Invoices, sales above RM10,000 and purchases from the public?
  • What does it cost a month, with extra shops and SST? Is there a contract?
  • Which printers and devices do I need?
  • How quickly can it be set up, and who gives support?

Questions

What is the best POS system for a gold shop?

Choose one built for the gold trade: per-gram prices by grade, weight and workmanship per item, trade-ins and buybacks, scrap to suppliers, several branches, and LHDN e-Invoices. A general retail POS usually handles none of these.

Can a gold shop POS follow the daily gold price?

Yes. A good system shows the world gold price automatically and lets you set your own selling, trade-in and buyback prices for each grade.

Does a gold shop need to e-Invoice?

Yes, if annual income or turnover is RM3 million or more; below RM3 million is exempt (HASiL, 30 August 2026). See the e-Invoice guide for gold shops.

How much does EMAS Gold ERP cost?

RM 400 + 8% SST a month for one company and one shop, including LHDN e-Invoices and support, with no contract. Each extra shop is RM 100 + SST a month.
